- Manage billing reconciliation process for meeting and event expenditures.
- Manage vendor commission invoicing and collection, as required.
- Review vendor invoices and reconcile against contracts and meeting specifications to ensure accuracy. Including all discounts, concessions, and credits.
- Follow client process and policy to execute vendor payments, if required.
- Administer program expense information tracking and recording in compliance with client-driven guidelines.
- Partner with event planning teams and vendors to communicate and resolve billing disputes.
- Perform audit and file close out procedures within customer required timeline.
- Enter spend and cost savings data into Cvent.
- Ensure timely and accurate cost savings reporting and required documentation.
- Provide client with necessary backup and documentation upon request.
- Ensure all required supporting documentation is uploaded into client systems.
- Support event planning team with Cvent data entry and reporting as required.
- Subject matter expert for client's corporate guidelines and procedures.
- Attend and participate in department and team calls.
- Collaborate with multiple internal departments on special projects as necessary.
- Work independently in the absence of supervision.
- Protect confidential information of both BCD Meetings & Events and client.
- Assumes and performs other duties and responsibilities not specifically outlined herein, but which are logically and properly inherent to the position.

- Utilizing Cvent and Microsoft Office Suite.
- Collaborating effectively within a team.
- Providing exceptional customer service and going above and beyond to ensure a positive client and attendee experience.
- Finance or accounting experience, specifically A/P (accounts payable), A/R (accounts receivable), and billing (minimum 2 years) is required. Experience managing vendors and financials within the meetings/events and/or hospitality industry is preferred.
- Required to be fluent in English language (reading/writing/speaking - C1).
- This role is based out of the BCD Travel office in San Jose, Costa Rica, and office hours mirror US EST time zone.
- No travel is required.
