- The Facilities Supervisor provides safety management, advice, monitoring, and reporting in the workplace, and engage staff in programs that ensure safe practice in the workplace.
Ensures the day-to-day smooth management and operation of facilities infrastructure through administrative support and overseeing maintenance of equipment and supplies, determining and scheduling repairs or renovation projects, and coordinating safety inspections tasks including vendor coordination.
- You will:
- Act as first line of contact for all facilities related issues, concerns, projects, etc.
- Manage all external providers e.g. security, maintenance provider, cleaning, building admin, etc.
- Works with the clinic management, where applicable, and HR team in submitting health and safety reportorial requirement to the respective government branch(es).
- Acts as the Pollution Control Officer of the Company, where applicable
- Manages incident report of injury, illness, and other situations related to health and safety of the employees and our workplace.
- Designs strategies to reduce incidents of illness, environmental accidents, and other issues that may affect the safety of our employees.
- Leads the investigation for environmental accidents and other safety concerns.
- Works as an SME for training programs to provide safety awareness education and refresher training to the health and safety committee and our employees.
- Provides presentations and updates about current safety hazards based on market research to educate others about avoiding health, safety, and environmental hazards
- Trains new members of the Health and Safety Committee.
- Evaluates risks associated with tools and equipment, and work environment.
- Ensures the exterior and interior of the building are maintained by coordinating with the admin and relevant vendors.
- Coordinates with vendors for general maintenance, repairs, cleaning, and painting of facility.
- General maintenance and working with respective vendors as it relates to UPS, Generator, CCTV, Facility Access Control, Fire Alarm and Suppression System, Security System and HVAC, where applicable.
- Ensures the facilities including meeting rooms, boardrooms, washrooms and cafeteria are maintained with supplies and are kept clean and tidy at all times.
- Act as our point of contact for repairs to walls, carpets, furniture, lights, and entranceways.
- Works with our Administration team in liaising with external vendors for vending machines in the pantry.
- Coordinates with our Administration team purchasing required supplies, where applicable.
- Manage purchasing with external vendors for required supplies and ensure supplier invoicing once received matches purchase orders, includes gaining approval when required
- Maintains records and certification relevant to keep the workplace safe and compliant with all statutory regulations; liaise with local authority, other tenants in the building, contractors, etc.
- Understand budgets and cost planning for facilities across applicable branches to keep costs aligned with current state of affairs and adjust services/costs, where applicable
- Attend to regular safety and facilities meetings; note all follow up action until completion.
- Ensure building, floor, pandemic, fire, evacuation plans are kept up to date.
- Acts as point of contact on any building/ facility emergency 24/7.

- Experience
- 2+ years' experience in facilities management
- 2+ years' practice as health and safety officer
